Chains and Locations

The concept of chains and locations allows UniResMan to control multiple properties from within one system. Not only does this allow  multiple locations for a group of properties, but also allows multiple chains such as may be required in a central reservation installation.

Seasons and Seasonal Calendar

An unlimited number of seasons can be set up to control  different billing or rate issues and, once seasons are defined, are applied to a calendar or specific dates. "High" season may apply from July 01 to August 31 this year but will fall between July 03 to September 03 next year. There is no limit as to how far in advance one can specify future seasons.

Rates

Rates control the billing of specific resources and have the following features:

  • Rates can be a sapecific fixed amount per reservation or  could be a daily rate, applied over the length of the reservation.
  • Specific daily rates can be entered based on the day of  the week.
  • Rate amounts are entered by season which allows a  single rate to have differing values based on the season or seasons into which the reservation falls.
  • A rate can optionally have a date range during which the rate is active and may be used.

Resources

Resources are entities which are individually reserved.  Rooms, ballrooms, cabins, marina slips, boats, specific seats and other  resources may fall into this category. Resources have the following attributes:

  • They are individually and specifically reserved for  periods of time.
            • They have features that are user defined. e.g. View, balcony, smoking or non-smoking, bed size etc. fall into this classification.  There is no limit to the number of features which can be defined and resources  can be located and selected based on their features.
            • Resources are allocated into Categories such as double rooms, suites and meeting rooms. Throughout the system, resources can be dealt with based on category or as part of the entire inventory. The category controls the General Ledger revenue allocation.
            • Statistics are maintained for each individual resource,  including revenue and usage numbers.
            • Pictures or videos can be attached to each resource for  reference or marketing purposes.
            • Reservation history is maintained for each resource.
            • A Responsible Person is assigned to each resource. This  could be housekeeping staff or reservation management.

Objects

Objects are items linked to a reservation and may, optionally, have a value that will add to the value of the reservation. Objects  have the following features:

  • An object cannot be specifically identified. If this is  necessary they should be set up as resources. They can however be quantity controlled to ensure that the maximum available number is not exceeded. When  an object is attached to a reservation the user will specify the number of  these objects being added.
  • An object may be added to a reservation for simple information purposes and have no specific value. Examples include complimentary beverages, newspaper preferences, food allergy information or other guest preferences and items that may require some action by the  housekeeping staff, either on check-in or check-out, or on a daily basis.
  • Objects can be added to a reservation to add value.  This would include meals, spa packages, tours, additional furniture,  additional persons in a room or other guest requirements.
  • Objects can have a fixed amount per reservation such as  a key deposit or a daily value. For more complex billing situations, a rate can also be attached to an object and all the attributes of the rate are then  applied to the object value.
  • Vouchers can be printed for objects which can be given to the guest to redeem. Vouchers are sequentially  pre-numbered  and controlled in an audit file.
  • A flag can be set on an object to serve as a reminder  to the front desk personnel for when the guest checks out. This can be used as a prompt to return a key, for example, which was handed to the guest on  check-in.
  • To allow ease of entry of standard objects for a resource, objects can be added to specific resources by default and any new reservation for that resource will then include the specified objects. These  can be edited and tailored to suit a specific reservation.
  • Objects can also be linked to specific rates. When the rate is selected for a reservation the specified objects are automatically  added to the reservation. This allows you to set up packaged rates which may  include additional items, such as a Valentines Special Package which may include meals, complimentary beverages as well as a Spa treatment.
